Create Departments
This guide explains how to create locations/groupings and associated departments. In Barde, departments are used as workshops (or equivalent operational units) to plan and follow up work per workshop, including in work orders and planning views. Departments can also be used to control which data and features are available to users working within a specific workshop.
Prerequisites
To create and manage departments, the role must have the following permissions enabled:
Under Administrator → Departments:

Level 2

Read access
-
Write access
In addition, the following must be set up before creating departments:

Projects
Part 1: Create location / grouping
A department must be linked to a location or grouping.
How to do it

Navigate to Administrator from the main menu.

Go to the Departments tab.

Click Create new under Location / Groups.

Enter the name of the location.
-
Click Create.
The location will now appear in the overview.
Part 2: Create department
How to do it

Click on the desired location.
-
Click Create new under Departments.
-
Fill in all required fields.

Click Create.
The department is now created and ready for further configuration.
Required fields
All fields in the creation form must be completed:

Department name
The name that will be displayed in the system. -
Department no. / Project no.
A unique identifier for the department. -
Prefix
Maximum of 3 characters. Used to ensure unique order numbers within the department.
Department settings
After the department is created, relevant settings must be enabled.
Standard practice is to enable:

Outstanding work
-
Schedule
-
Create new order
-
Create open order
-
Fixed schedule
-
Dynamic schedule
-
-
Work orders
-
Error history
-
Show in Barde Field
These settings control functionality and visibility in the system.
Notification setup (optional)
You can define who should receive notifications for reported errors.
How to do it

Click + to add a user.

Select a user.
-
Check the desired notification types:

Minor error
-
Critical error
-
Operational stoppage
Repeat as needed.
Temporary department
If the department should only be active for a limited period:

Check Temporary department.
-
Select start and end date.
Note: If a project is linked to the department and the department is set to inactive, the project card will be locked.
Common issues
The department cannot be saved

Verify that all required fields are completed.

Ensure that the prefix does not exceed 3 characters.

Check that the department does not already exist.
The department is not visible in the main menu / in Barde Field

Verify that the relevant permissions are enabled for your role.

Ensure that “Show in Barde Field” is checked if it should be available there.
