Assign Service Program to machines, vehicles or equipment

Once the Service Program is ready, it can be assigned to your assets

Functionality for Administrators and Superusers

The last step in setting up a Service Program is to assign it to the machines, vehicles or equipment that will follow it.
Assignment enables automatic calculation of Next Service and execution of Service at the Service Intervals that are
set up via Work Order.

To assign a Service Program:

  1. Open "Service" in the main menu.
  2. Select the "Service Setup" tab.
  3. Use the search field to find machines, vehicles or equipment to be assigned to the new Service Program.

You can search:

  • Manufacturer (name)
  • Model (name)
  • Asset(ID, description, sub category)
  • Service program (name)

✨  Tips:
You can also click on the column names to sort the view, for example by manufacturer.

4. Currently, Service Programs are assigned to one asset at a time. Continue by going to an asset to which you want to assign a Service Program and click on the "ASSIGN SERVICE PROGRAM".

5. You will now be given a couple of choices. Start by selecting which Service Program you want to assign to the asset in the first field.

6. Set "Assigned Date" to today's date, or back in time if desired.

7. Note the last recorded Idle Time (hours) or Mileage (kilometers) and the date of this recording.

⚠️  Important! The next step depends on which scenario applies to the asset.🤔

  • Scenario A: no previous services performed
If the machine, vehicle or equipment is new and has not been serviced previously, you can complete the assignment.
Click "ASSIGN SERVICE PROGRAM". The service program is now assigned and the Next Service calculation will begin.

  • Scenario B: one or more previously performed services
If the machine, vehicle or equipment has had previous services performed, you must state which Service was performed last so that the Next Service calculation is correct. Continue with step 8.

8. Find the Service Interval for the last service performed on the asset (read: "Last Service").

9. Enter the hours/kilometers the last service was performed on and select which historical interval the last service belonged to.
If there is a time interval, select "Date Performed" additionally.

  • Note: What you choose here affects the calculation of the next service. Scroll down to see examples.

10. Click on "ASSIGN SERVICE PROGRAM". The service program is now assigned, and calculation of the Next service starts.

Examples of how choosing Last service affects calculating Next service:

Example 1:

  • Last recorded operating time (hours) for the asset: 3,000 h
  • Possible Service Intervals: 500 h, 1,000 h, 2,000 h, 4,000 h
  • Last service: 500 h
  • Completed in: 2 560 hours
  • For historical interval: 2,500 h

= Vi beregner at Neste service skal utføres på 3 000 timer, og at det da er en 1 000-timers service.

Eksempel 2:

  • Siste registrerte Gangtid (timer) for driftsmiddelet: 3 000 t
  • Mulige Serviceintervaller: 500 t, 1 000 t, 2 000 t, 4 000 t
  • Sist service: 1 000 t
  • Utført på: 2 940 t
  • For historisk intervall: 3 000 t

= Vi beregner at Neste service skal utføres på 3500 timer, og at det da er en 500-timers service.
